What Xero data can Polytomic sync?

A broad accounting surface: accounts, invoices, credit notes, repeating invoices and invoice reminders, payments, batch payments, overpayments and prepayments, bank transactions and transfers, linked transactions, journals and manual journals, items, contacts and contact groups, quotes, purchase orders, currencies, tax rates, tracking categories, organisations, users, and asset types and settings. A few objects exist in code but are currently disabled, including budgets and bank feed statements.

Can I get the general ledger or trial balance?

Accepted Answer

Not as report objects. Xero's rendered reports are not exposed by this connector, so there is no general ledger, trial balance, balance sheet, or profit and loss table to select. What you get instead are the underlying accounting objects, principally journals, manual journals, and accounts, which is enough to build those views yourself in your data warehouse once ETL has landed them. That is more modelling work upfront, but it leaves the definitions under your control rather than fixed by the tool.

How are multiple organisations handled?

Elegantly, and this is the connector's best feature. A browser OAuth authorization discovers every connected organisation tenant and reads each object across all of them in one connection, stamping every row with the tenant ID and name. So a group with several entities gets consolidated tables without configuring a connection each. Incremental checkpoints are also maintained per organisation, so one slow entity does not hold up the others. A custom connection resolves to a single organisation instead.

How does incremental syncing work?

The transactional objects resume on their last updated timestamp, using Xero's modified since header, with checkpoints held per organisation so each ETL run moves only what changed. That covers accounts, bank transactions and transfers, batch payments, contacts, credit notes, invoices, items, journals and manual journals, overpayments and prepayments, payments, purchase orders, and quotes. The remaining reference objects such as currencies, tax rates, and tracking categories are full reads, which is fine given they rarely change.

Can Polytomic write into Xero?

No, this is a source only connector, so accounting data flows out rather than in. Invoices, payments, and journals are created in Xero or in the systems that feed it. Where reverse ETL helps is downstream: pushing a computed figure such as account balance, payment status, or overdue days onto a CRM or support record so the team having the customer conversation can see it.
